Workflow, Tags, and Statuses

Content Workflow Tags

Outranking’s tagging system gives users a better way of organizing their SEO documents. You can use any words as your tags to help you categorize your content i.e. client name, domain name, or niche.

How to Use It

  1. Log in to your Outranking account and choose any of your SEO documents that have the **Untagged** word in their tagging column.

2. Click **Untagged** and start typing your new tag(eg. mydomain.com) or choose from the existing ones you created previously.

3. Hit the **Save** button.

Content Workflow Status

This functionality lets users assign status to their SEO Documents so they immediately know the state of the document without having to open it and see for themselves i.e. Published, In-review, Draft, Outline

How to Use It

  1. Log in to your Outranking account.
  2. Choose any of your SEO documents and in the status column, click the dialog box in the Status column.

3. Choose among the four statuses available depending on the state of your document.

Content Workflow In-team Sharing

The sharing function allows users to share their SEO documents with their team members inside Outranking. They can do it with one person at a time or share the document with multiple team members at once.

How to Use It

  1. Log in to your account.
  2. Click the gear button beside the SEO document you want to share.

3. When the **Share Document** prompt appears, select the user you want to share the document with. Select whether you give the user a **View** or **Edit** access.

4. Click the + button if you want to share the SEO document with multiple team members.

5. Hit the **Save** button.

Content Workflow External Team Sharing

This Outranking function allows users to share their SEO documents with people outside of Outranking.

How to Use It

  1. Open one of your SEO documents.

2. Once inside, click the share button found at the top right side of your Content Editor.

3. When the **Share Document** prompt appears, enter the email of the person you want to collaborate with(blue box). Select whether you give the user a **View** or **Edit**(green box) access.

4. Click the + button if you want to share the SEO document with multiple team members.

5. Hit the **Send** button.

Note: The AI Write function is not available when you share your SEO documents with your external team members.
